Throughout these past few months, we have remained optimistic that we would be able to provide a camp experience to all our campers. After several weeks of working diligently – planning, developing and restructuring our camp program to adhere to the guidelines given by the State of North Carolina, our Administrative/Programmatic team has put together a program that will still provide an amazing, quality camp experience while adhering to the guidelines provided by the state!
SESSION SCHEDULE FOR SUMMER 2020
1st Session: June 28 – July 10, 2020
2nd Session: July 12 – July 24, 2020
3rd Session: July 26 – August 7, 2020
Starter Session: August 9 – August 14, 2020
Tuition Changes
TUITION RATE CHANGE:
With our sessions changing to two weeks for every camper, some of our families will be entitled to a tuition reduction (those that are going from three week to two week tuition rates). We will make these adjustments to your account and will reach out to you with your credit balance. This will differ per camper. The entire process will take time as we go through each camper’s record one-by one. We will move through all the forms as quickly as we can. Please give us time to assess these adjustments and email you personally concerning potential credits on your account.

- Log into your account: Camp-In-Touch. You will use your email on file with us and the password you created. If you do not know your password, choose the option to re-set it. This email may go to your spam box, so please make sure you check this folder as well!
- Select Forms and Documents.
- Click on Summer 2020 Plans. You will need to answer every question in order to submit it.
CHANGING SESSIONS?
This is exciting as well! We understand that our camp families may need to revise their summer schedules and choose sessions their campers may be able to attend. We will work hard to accommodate all these requests. After all campers who choose to remain in their sessions have been accounted for and cancellations reviewed and processed, we will tackle those that want to change sessions. If we do not have space in a certain age group to honor your request, we will reach out to you personally to come up with alternative plans. That being said, here is what you need to do now:

NOT READY TO COMMIT QUITE YET TO SUMMER 2020 BUT NOT READY TO CANCEL EITHER?
We understand that this may be a difficult decision to make and a very personal one. There may still be some unanswered questions that you may have. We are working on a Frequently Asked Questions sheet to answer any programmatic, administrative, and health related questions you may still have. Please also call or email us. It may take a little time to get back with you, but I promise we are here to help!
Please understand that in order to move forward with hiring staff, planning activities based on camper numbers and creating a plan that is amazing for our campers, we need to have firm numbers by Monday, June 1st. If a decision has not been made by June 1st, the following options will apply:
- If you have not paid anything but your deposit, you could lose your spot if we have a potential camper that would like to come to camp. We would, however, reach out to you prior to this happening to confirm what your intentions may be.
- If you have paid your tuition (or any part of it), our normal cancellation policy for every summer would go into effect. You would forfeit your entire tuition paid or you would have the option to roll it over to Summer 2021.
ARE YOU CANCELLING YOUR CAMPER FOR SUMMER 2020?
Our hearts are heavy that your camper will not be joining us for Summer 2020. However, we know that your camper will eagerly await Summer 2021, as camp is not just a place, but a place in her heart!
WHAT MONEY IS INCLUDED IN YOUR REFUND OR ROLL OVER?
The money you may roll over is based on the amount of money you have paid for Summer 2020. If you are requesting a refund, for our current cancellation policy, your refund will be equivalent to your tuition paid less the deposit of $600. We do understand that there may be exceptions to our cancellation policy due to inability to travel (international campers), health risks, etc. In these cases, our cancellation policy will not apply to your camper and you will receive a full tuition refund in the manner that you choose. We will review on a camper by camper basis.
CITs:
Since our Counselor-In-Training program has been canceled for Summer 2020, our CIT families are entitled to a full refund of their tuition paid. You will be given top priority as we have actually cancelled their program. Please review the refund options listed below to determine which option best fits your family’s financial situation and follow the instructions on how to cancel your Summer 2020 session.
FINANCIAL STATUS:
Review the following options for information regarding your tuition payments. As you make your decision on how you would like to be refunded, please remember that COVID19 puts camp in a challenging financial position. Camper tuitions are our main source of income throughout the year, and while we are prepared to provide you the option of a full refund, it may create a very difficult financial situation for us as a family-run business. Many of our summer’s financial resources have already been expensed to prepare for a summer of fun for your camper - improving our facilities, hiring staff, ordering supplies, preparing for activities – just to name a few! And on top of it all – we still must cover operating costs for Summer 2020 as well as a year’s worth of expenses associated with moving into Summer 2021!
REFUND OPTIONS:
We are providing several different refund options to be as accommodating and gracious as we can with our families. The options below are listed in the order in which they would be most financially helpful to camp in these unprecedented times:
- OPTION 1: DONATION - Choose to donate this year’s tuition either fully or partially to help cover camp’s essential operating expenses. If you choose to partially donate your tuition paid, the balance remaining will be forwarded to Summer 2021 or refunded according to our refund options. If you choose this option and decide to enroll for Summer 2021 when registration is open, your tuition rate will be locked in at the 2020 tuition rate and you will be eligible for any discounts that may be applicable.
- OPTION 2: DISCOUNT OVER THREE YEARS (Best financial option for camp and for you if you have a camper that may be returning for the next three years) - Choose to spread your paid tuition over the next three years of camp. Each year for the next 3 years (starting in 2021), your tuition will serve as your deposit equal to a third of what you have paid for this summer. In addition, your tuition will remain constant at $4,250 with no price increase and any discounts that camp may offer, will be applied to your account (if you meet the terms of the discount). If you end up not returning for all three years, we will refund the money due to you over the remaining years left, or you can choose to donate that money to camp. See example below (Tuition Paid = $4,250):
- 2021 (year 1): $4,250 (tuition for 2021 – actual tuition for 2021 may be $4,450) - $425 (early enrollment discount) - $1,416 (1/3 tuition paid) = $2,409 would be balance due for this year.
- 2022 (year 2): $4,250 (tuition for 2022 – actual tuition for 2022 may be $4,650) - $465 (early enrollment discount – if applicable) - $1,416 (1/3 tuition paid) = $2,369 would be balance due for this year.
- 2023 (year 3): Camper cannot come back to camp due to school programs. You would receive a refund of $1,416.
- OPTION 3: FULL ROLL OVER - Roll over 100% of the money that you have paid in tuition into Summer 2021. If you choose this option and enroll for Summer 2021 when registration is open, your tuition rate will be locked in at the 2020 tuition rate and all applicable discounts will be applied (ex: Early Enrollment Discount). If you should later decide to cancel for Summer 2021, the normal cancellation policy will apply (see cancellation policy below).
- OPTION 4: PARTIAL ROLL OVER - Roll over 50% of what you have paid in tuition to Summer 2021, receiving 50% of your money back in a refund. If you choose this option and enroll for Summer 2021 when registration is open, your tuition rate will be locked in at the 2020 tuition rate. If you should later decide to cancel for Summer 2021, the normal cancellation policy will apply (see cancellation policy below).
- OPTION 5: IF YOU HAVE ONLY PAID YOUR DEPOSIT FOR SUMMER 2020 - If you have only paid your deposit for Summer 2020 and you choose to cancel, you may carry forward your deposit to Summer 2021 and receive the early enrollment discount or you will forfeit your deposit in its entirety. If you should later decide to cancel for Summer 2021, the normal cancellation policy will apply (see cancellation policy below).
- OPTION 6: REFUND - If you choose to be refunded the full amount of tuition you have paid less the deposit, refunds will begin to be processed on June 1. Please understand that refunding all tuitions paid requested by our families at one time may put us in a financial bind, so creating a refund plan with us would be greatly appreciated. Please indicate if you would like to be refunded monthly (8 equal payments), quarterly (4 equal payments) or in full (1 payment). If you choose the in full option, please allow us until October 1st to process your refund in full (we will process refunds prior to this date if funds allow).
- You may choose to carry forward your deposit to Summer 2021. However, early enrollment discounts will not apply and you will not lock in the current 2020 tuition rate for Summer 2021.
CANCELLATION POLICY FOR SUMMER 2021:
If you roll over your tuition to Summer 2021 in any form and later decide not to attend Summer 2021, you will be entitled to a refund according to our normal cancellation policy. If you cancel before February 1st, 2021 you will be subject to $300 cancellation fee (1/2 of the deposit). If you cancel after February 1st, 2021 and prior to May 1st, 2021 you will forfeit the entire $600 deposit. If you cancel after May 1st, you will forfeit your entire tuition.
HOW TO CANCEL CAMP FOR SUMMER 2020:
If you still would like to cancel camp at this time, please follow these steps to expedite your cancellation:
- Log into your account: Camp-In-Touch. You will use your email on file with us and the password you created. If you do not know your password, choose the option to re-set it. This email may go to your spam box, so please make sure you check this folder as well!
- Select Forms and Documents.
- Click on Summer 2020 Plans. You will need to answer every question in order to submit it.
When a form is received, camp will follow up with you concerning your cancellation either via email or phone. If you have chosen Option 1 – 5, you will be contacted by camp when early enrollment is up and running.
