2008 TERMS AND ENROLLMENT

Please read the following information carefully before you begin your application at the bottom of the page. All of this information will be mailed to you after your camper has been enrolled but it is important that you read this page before applying. Thanks!

Enrollment

First priority is given to returning campers followed by siblings of current campers. We cannot guarantee enrollment after January 1, 2008. The application form must be completed by a parent and mailed to Camp Ton-A-Wandah along with a $400 registration fee.

Returning (or first-year) campers may enroll for 3 week sessions. Two week sessions are open to first-year campers only, ages 6-11, and each two week session is limited to 40 campers.

Traditional Camping Program

This program offers instruction in more than twenty areas including archery, riflery, tennis, swimming, horseback riding, canoeing, arts and crafts, drama, dance, basketball, soccer, volleyball, kayaking, outdoor cooking, mountaineering, high ropes, rock climbing, and more.

Ton-A-Wandah Trips Program

The trips program provides an excellent opportunity for campers to broaden their camp experience. Typical trips will include backpacking in Pisgah National Forest, whitewater rafting the Nantahala, Pigeon, or Chatooga Rivers, day trip hikes in the wilderness areas, rock climbing, rappelling, and visits to the Biltmore Estate and the Carl Sandburg Home. There is an additional charge for those trips that require a fee. Should a camper reserve a space and withdraw or miss the trip for any reason other than illness, the extra fee will be forfeited.

Daily Riding Program

Horseback riding is offered to all campers every other day as part of the traditional camp program and the fee is included in the regular camp fee. There is a special daily riding program six days a week for an additional $375 per session. Parents must pre-register the camper on the application. Should a camper decide to drop daily riding during the camp session, NO REFUND WILL BE MADE. We will not be responsible for campers enrolled in the daily riding program who do not ride six days per week due to out-of-camp trips, weather conditions, etc. Enrollment in this program is limited to 25 campers per session. Fees for this program are due in full at time of camper's enrollment.

Laundry

Clothing should be sturdy and practical. Laundry will be sent out once a week by cabin groups. Be certain that all of your daughter‘s belongings - clothing and equipment - are clearly marked with her name. THE CAMP ASSUMES ABSOLUTELY NO RESPONSIBILITY FOR LOST ITEMS.

What to bring/What not to bring

For a list of items to bring to camp, please visit Camper Cargo and click on “What to Bring.” Campers may not bring to camp any food, candy, electronic games, televisions, cellular telephones, video players, iPods or similar electronic devices. If these items are brought to camp, they will be confiscated and held in the camp office until closing day. These items disrupt the spirit and the experience that camp provides to our campers. Please help us by leaving these items at home. Cell phones for travel from camp should be turned in to the camp office to be held until closing day.

Registration

Camp Ton-A-Wandah enrollment is limited to 225 campers per session. Applications will be processed in the order that they are received. HISTORY SHOWS THAT EARLY APPLICATION IS RECOMMENDED. Enrollment can be made for one, two, or three sessions. All applications must be filled out completely and mailed with a $400 registration fee. Checks should be made payable to “Camp Ton-A-Wandah.” The fee for each session includes all living expenses, services of the infirmary, horseback riding every other day, riflery ammunition, laundry services, some out of camp trips, and canteen.

Tuition Payment Schedule

Camp fees are payable $400 with the application, 1/3 of the balance by November 1st, 1/3 of the balance by February 1st, and the remainder by May 1st unless other arrangements have been made. Enrollment after November 1st requires a payment of $1,250 ($400 registration fee plus $850 fall payment). Enrollment after February 1st requires a payment of $2,100 ($400 registration fee plus $1,700 fall and spring payment). We will send an invoice prior to when payments are due. As of May 1st, any past due account will result in cancellation of camper’s enrollment with no refund of tuition. A monthly payment plan by credit card only is available and may be set up for your convenience. Please call the camp office for payment arrangements.

The camp fees are to be paid by check or credit card as follows:

Early / Late Arrivals

Campers should arrive no later than noon on opening day and should depart no later than noon on closing day. Due to the importance of counselor orientation and staff leave time between sessions, it is extremely inconvenient for any camper to arrive before her session begins or to remain at camp after her session has ended. When no other choice is available, arrangements must be made well in advance with the camp office. Early arrivals and late departures will be charged a minimum of $150 per day per child.

Refund Policy

If cancellation is necessary before February 1st, $200 of the $400 reservation fee will be refunded upon written notification to the camp office. After this date the entire reservation fee will be forfeited. Cancellation on or after the 14th day before opening day of camp will result in a forfeit of the entire tuition. There will be no reduction of fees for late arrivals or early withdrawals, including early departures for homesickness. Only in case of early withdrawals due to serious illness will a refund be considered. The right is reserved to dismiss any girl whose presence, in the Director’s judgment, is detrimental to the best interest of the camp, and in such case, there will be no reduction\ in fee.

Travel

Airline connections can be made to Asheville-Hendersonville (AVL) or to Greenville-Spartanburg (GSP) on opening and closing days. Transportation information and special baggage tags will be mailed. We cannot accommodate travel from other airports. In making your daughter's plane reservations, allow the flight arrival time to be between the hours of 9:00 AM and 12:00 noon. Also, in making departure plane times, make the departure times between the hours of 9:00 AM and 12:00 noon. Any arrivals outside the specified times will be charged additional fees. If you have any questions about this, please consult the camp office.

Opening Day/Visitation

Visitation day is considered opening day of the camp session. At this time, parents are encouraged to meet staff and enjoy the facility. A camp experience provides an opportunity for campers to gain independence, self reliance and self confidence, which are all essential to a young girl‘s development. Our experience has proven that visitation by parents and relatives during camp creates interruption of the camp program and we appreciate support of this policy by parents.

Cabin Arrangements

Campers are assigned to cabins according to the camper‘s rising grade. We recognize that there may be reasons for exception to this policy such as maturity beyond, or not up to, a camper‘s chronological age. Where such is the case, parents should inform us at the time of enrollment so that a proper cabin assignment can be made. Actual cabin arrangements are made as deemed necessary by the camp. We cannot guarantee placement in any particular cabin. Campers frequently want to be in the same cabin with a friend. We are glad to honor such requests with approval of both parents, provided the campers are of the same grade and age, and the assignment does not result in an excessive number of campers from the same town. Requests must be made on the application at least 2 weeks prior to the camper‘s arrival at camp and cannot be guaranteed.

Camper Cargo

Camper Cargo is the camp supply store which offers campers clothing, surprise packages, trunks, camp gear and other specialty items. Campers may buy through Camper Cargo with the parent‘s permission. Gift cards may be purchased by calling Camper Cargo at (828) 693-7782 or on the opening day of camp.

Money

Campers do not need additional money with them at camp. However, if campers do bring money with them, all personal money must be placed in the office safe. CAMPERS SHOULD HAVE NO CASH IN THEIR POSSESSION. THE CAMP ASSUMES NO RESPONSIBILITY FOR MONEY NOT DEPOSITED IN THE OFFICE.

Health Certificate

Campers must have an updated form signed by a physician within 12 MONTHS OF THE CAMPER'S ARRIVAL AT CAMP. This time frame is a Camp Ton-A-Wandah and North Carolina state requirement. A health form will be mailed to parents before the camper is due to arrive at Camp Ton-A-Wandah. Forms may also be downloaded from our website. We must have a current form filed at camp, completely filled out and signed by parents and your physician prior to arriving at camp. OUR CAMP PHYSICIANS WILL NOT SEE CAMPERS UNLESS A CURRENT HEALTH FORM IS ON FILE AND SIGNED BY PARENT AND PHYSICIAN. PARENTS ARE RESPONSIBLE FOR MEDICAL EXPENSES INCURRED DURING CAMP.

Canteen Account

Drinks and snacks are offered six days a week in the canteen. PURCHASES FROM THE CANTEEN ARE INCLUDED IN THE CAMP FEE.

Mail and Packages

Mail and packages should be sent to 300 West Ton-A-Wandah Rd. Hendersonville, NC, 28739. It is helpful to include your camper's name and cabin on the envelope or package. Packages containing clothing or reading materials are welcomed. Campers look forward to receiving packages and letters. We ask that NO FOOD, CANDY OR GUM be given or sent to the campers. North Carolina state regulations forbid food and candy in cabins. Frequent snacks are available to our campers. Please discourage friends, grandparents and other relatives from mailing these items.

Telephone

The camp telephone numbers are (828) 692-4251 or (800) 322-0178. Campers may not use the telephone except to return emergency calls to their immediate family. We prohibit phone calls to campers, as this is extremely disruptive to their camp experience. Campers may not use camp‘s e-mail or fax machines. CAMPERS‘ CELL PHONES ARE NOT ALLOWED.

Lost and Found

Please be sure to clearly and permanently label all your daughter’s belongings with her first and last name. Camp Ton-A-Wandah does not assume responsibility for any lost articles. We make every effort to ensure your daughter returns home with her belongings. Valuables found after camp’s close will be returned only upon parent request. If lost items are located, postage and an administrative fee will be charged to the camper’s account. Lost and found is returned for two weeks after the session closes. After that, all unclaimed items are donated to a local charity.
